An annual cycle that ran through the mailbox
The customer runs a subsidy scheme. Regional partners organise activities at schools for it and account each year for what was done and what it cost.
That cycle ran through email, forms and spreadsheets. Activities were registered in several places, the status of an accountability report was known only to the person handling it, and compiling the annual overviews took weeks. When partners had questions, someone at the office had to look it up.
The question was a portal in which partners and schools enter and maintain their own data. The organisation assesses and keeps the overview, without retyping data.
One place where activities, partners and accountability sit together.
A portal for partners, schools and the organisation itself
Every partner and school works in its own environment. The organisation manages the scheme, assesses what comes in and takes the reporting from it.
Activities per partner and school
Partners register their activities, with period, target group and the schools taking part. What is entered once is not needed anywhere else.
Accountability with visible status
Every activity has an accountability report with a financial overview and explanation. The status is visible to everyone and changes with one click, with a message to those involved.
Overview and reporting
Budget, costs and result per school and per partner, distinguishing expected and final costs. Exportable straight away for the organisation's own reporting.
Reminders at the right moment
The portal reminds partners of what is still open. The organisation no longer has to chase by phone.
Everyone sees their own part
The organisation, partners and schools each have their own role and see only what belongs to them.
The cycle runs in the portal
Partners do it themselves
Activities and accountability reports are entered by the partners. The organisation assesses and keeps the overview, instead of retyping data.
Status always visible
Everyone sees which phase an accountability report is in. Questions about it no longer come in by phone.
Reporting from one source
The annual overviews come from the portal, instead of from merged spreadsheets.
Further development on wishes from practice
After several years of use the customer delivered a list of improvement wishes, from the way activities are recorded to a faster status process. These were implemented in phases. Monitoring, maintenance and support run through a fixed monthly contract, so the portal keeps growing with the scheme.
