Tracking compliance in email, folders and spreadsheets
The customer manufactures electronics and must receive, assess and retain declarations, certificates and audit reports from every supplier each year. That is not a choice, customers and legislation require it.
The process ran by email: requesting, reminding, documents in shared folders, the status in a spreadsheet. Who still had to deliver what was hard to see, and during an audit finding documents took a lot of time. The question was a portal in which suppliers deliver themselves and the quality team keeps the overview.
First make the process tangible in a demo, then build.
Two portals on one foundation
The desired process was first sharpened with the customer in a clickable demo. Then built, in the customer's branding: an internal portal for the quality team and a portal for the suppliers.
Internal portal for the quality team
Overview per supplier, annual campaigns with automatic reminders and assessment per supplier with full history.
Supplier portal without an account
Suppliers receive an invitation and go through a guided flow: answer questions, upload documents, sign the declaration. No password, no barrier.
Documents in one place
All declarations and certificates centrally, with retention period and a trail of who assessed what and when.
Supplier data from the ERP
Suppliers are managed in the customer's ERP. The portal reads them in, so nothing is maintained in two places.
Overview instead of a mailbox full of attachments
Suppliers deliver themselves
The annual campaign runs through the portal. Reminders go out automatically, the team only steps in where something lags behind.
Always a view of the status
Per supplier it is immediately visible what has been received, assessed, expired or is late.
Ready for the audit
Documents and assessments can be found per supplier and per year, with who did what and when.
Maintenance and development in a monthly contract
Monitoring, updates and support run through a monthly contract, with a fixed development cycle on a shared backlog. Extensions such as reporting to the customer's own analysis tools come along in it.
